A wedding car problem is one of the most stressful things that can happen on the big day: the wrong car arrives, the driver is late, or the fuel runs out halfway. Most of these problems are avoided with a clear booking and a few simple checks. Weddme lists 980 wedding car rental businesses. This guide explains what to confirm about the driver, fuel, hours and contract before you pay.

For the bride's and groom's cars, most families choose a driver, so nobody from the family has to worry about driving and parking on the day.

The driver

  • Ask for the driver's name and phone number a day before.
  • Confirm the pickup time and address, and share a map pin.
  • Ask whether the driver knows the venues and the route.
  • Agree how the driver will be fed and where they will wait during the event.
  • Ask for a driver in a uniform or formal clothes, if that matters to you.

Fuel and distance

Ask clearly whether fuel is included and for how many kilometres. Some companies include fuel within the city but charge for travel to another city or far venues. If fuel is not included, agree how it will be paid and keep the receipts. Check the fuel gauge when the car arrives.

Hours and overtime

Wedding car bookings usually cover a set number of hours. Weddings often run late, especially the rukhsati. Agree what time the hours start, what overtime costs per hour, and whether the company has another booking right after yours. A car that has to leave for another wedding at a fixed time can cause a lot of stress.

The day before

Call the company to confirm everything again. Ask for photos of the exact car. Confirm the driver's number and share it with the family member managing transport. If decoration is separate, confirm the decorator knows where and when to meet the car.

On the day

  • Check the car when it arrives: clean inside, air conditioning working, enough fuel.
  • Check the decoration is secure and does not block the driver's view.
  • Keep the driver's number on two family phones.
  • Make sure the back seat has room for the bride's dupatta and lehenga.

Self drive: extra care

If you rent a car to drive yourselves, check it carefully at pickup, take photos of any scratches, note the fuel level, and read the rules on deposits and damage. Choose a careful, experienced driver from the family, and keep the rental papers in the car.

Warning signs

  • The company will not confirm the exact car or send photos
  • No written booking or receipt for the advance
  • Vague answers about fuel, hours or overtime
  • No backup plan if the car breaks down

Who manages transport for the family

Ask one calm family member to manage all wedding transport. They keep the drivers' numbers, the booking messages and the timings, and they answer the drivers' calls on the day so the parents do not have to. This person should know the venues, the route and the backup plan. One clear contact person avoids confusion when several cars and many family members are moving at once.

Plan for traffic and parking

Wedding season evenings bring heavy traffic in big cities, especially near popular halls. Plan departure times with extra margin, and ask the venue where the bride's car can stop close to the entrance. If the venue has valet parking, confirm the decorated car can wait nearby rather than being moved to a distant lot. A little planning here keeps the rukhsati smooth and on time.

Paying fairly

Pay a reasonable advance to confirm the booking, and the balance on the day or after the event, as agreed. Keep a written note of any overtime or extra distance as it happens, and settle it calmly with the company afterwards. A small tip for the driver who helped all day is a kind gesture many families like to give.

If something goes wrong on the day

If the car is late, call the company straight away rather than waiting, and ask for the backup car they promised. Keep a family car ready near the venue as a last resort for the rukhsati. If the decoration is damaged, a florist can usually fix it quickly if you call early. Stay calm and let the transport contact person handle it, so the couple and parents can stay with the guests. Afterwards, note what went wrong and settle any refund or discount with the company politely, using your written booking as the reference.

A quick checklist to keep

  • Exact car confirmed with photos
  • Driver's name and number saved on two phones
  • Pickup time, venues and map pins shared
  • Hours, overtime rate, fuel and distance agreed in writing
  • Decoration time and decorator confirmed
  • Advance receipt kept, balance and payment method agreed
  • Backup plan agreed if the car is late or breaks down

Print this list or save it on your phone, and tick it off the day before the wedding.
